Activities & Fundraising
The activities request process, approval chain, deadlines, and the revenue forms every fundraiser needs.
Activities request process
To fundraise or hold ANY event, the first step is always to complete an activities request.
- Depending on the activity you may need a district facilities form — work with the Facilities Secretary to complete it.
- If a bus is needed, complete the transportation request form.
- For during-school-day requests, once all paperwork is complete the request goes into the Wednesday meeting.
Field trip guidelines
- Each teacher may take up to two (2) field trips.
- Covers transportation only — no admission fees.
- Must be on the Board Approved List.
- No field trips are approved in May or during testing.
Approvals & timelines
All activities requests go through an approval process involving:
- ASB
- Facilities & Activities Administrator
- At times, Administrative Cabinet
- For some events, District approval
Submit activities a minimum of 2 weeks prior to the event, keeping Wednesday ASB meetings in mind. For larger-scale events, submit 1–2 months ahead. ASB cannot be responsible if you overspend.
Revenue potential & sales analysis
- Projected income and expenses are part of the online activity/fundraiser request — it cannot be placed on the ASB agenda without them.
- The purpose of the fundraiser section must be completed.
- After your fundraiser, come back to the same request and enter your actual income and expenses (this replaces the paper Sales Analysis).
- No new Purchase Orders are processed until completed fundraisers have reported their actuals.
Everything stays on one request, and a clean PDF is generated for your records and for the bookkeeper.
